Job Description

I am looking for an executive assistant to help me run my various different companies and business projects. I am looking to train someone as my right hand person for a variety of different tasks involved in a fitness/nutrition coaching business, insurance business, cleaning company, and real estate business. These are all remote companies located in the US.

Position Summary:
The Executive Assistant will provide high-level administrative support to the executive leadership team, ensuring efficient operation and facilitating effective communication. The ideal candidate is detail-oriented, adaptable, and capable of handling a wide range of administrative and executive support tasks in a fast-paced environment. Looking to start someone part time and progress upwards from there depending on performance.

Key Responsibilities:

Manage and maintain executives’ schedules, including appointments, meetings, and travel arrangements.
Act as a liaison between executives and internal/external stakeholders, ensuring smooth communication and follow-up.
Prepare and edit correspondence, reports, presentations, and other documents as needed.
Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing follow-up materials.
Handle confidential information with discretion and professionalism.
Conduct research and compile data for reports, meetings, and presentations.
Assist with project management and special initiatives as assigned by executives.
Oversee office operations and manage administrative tasks to support the executive team.
Monitor and respond to emails and other communications on behalf of executives.
Maintain a filing system for important documents and records.

Qualifications:

Degree in Business Administration, Communications, or related field preferred.
Proven experience as an Executive Assistant or in a similar administrative role.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent verbal and written communication skills.
Proficiency in google sheets, google docs, google calendar, go high level, whatsapp, slack, facebook, instagram, tik tok, linkedinn, canva, zoom, chat gbt, email list management.
Ability to work independently and as part of a team in a fast-paced environment.
High level of integrity and discretion in handling confidential information.
Strong attention to detail and problem-solving skills.
Ability to anticipate needs and proactively address issues.

Preferred Qualifications:

Familiarity with project management tools and software.
Fluent English speaking
