Job title: Executive Assistant
Location: Remote, Philippines
Compensation: FT, remote $6.25/hr (USD)

Required
– 5+ years experience supporting U.S.-based executives
– You will need to overlap with Lisbon mornings (8:00-12:00) Monday through Friday
– Experience with CRM tools and Stripe
– You are an expert using modern collaboration tools (Notion, Google Workspace, Microsoft Office, Calendly, Docusend)
– Basic understanding of US book-keeping and accounting using Quickbooks
– Strong internet connection and dedicated workspace
– Excellent written English

Outcomes
– You will categorize all business expenses, using Quickbooks online, across two entities
– You will make sure all invoices are paid, and any delinquent invoices are pursued – ensuring the integrity of my AR / AP function
– You will help keep me on track by making sure I respond to new business queries in a timely manner & help with handling inquiries, managing calendar/scheduling and travel planning
– You will create products within Stripe, create reports, and generally manage the backend
– You will organize and systemize all of my digital paperwork, including resources, client related files and interaction
– You will perform (or help me hire & manage specialists) internet research, building marketing lists, managing social media

Skills
– You are highly organized
– You have created filing systems in the past
– You are experienced working across multiple timezones, juggling several calendars, as well as planning and booking international travel
– You are a strong researcher and process oriented
– You are able to manage a team on Upwork, or elsewhere, to fill gaps in the organization (examples would be: design, digital marketing, technical writing, etc)

In the first 90-days
– You will go through hundreds of saved articles and organize them into themes, creating lists and publish them to my website which (runs off of a combination of Notion and )
– You will review, organize and systemize all of my existing and past contracts
– You will have completely taken over weekly bookkeeping responsibilities
