**Position Overview:**

We are looking for a highly organized and efficient Virtual Assistant to support our growing team and company owner. The successful candidate will be responsible for managing various administrative tasks, ensuring smooth and efficient operations within the team. This remote role requires excellent communication skills, a proactive approach, and the ability to work independently.

**Key Responsibilities:**

1. **Email Management:**
– Filter and prioritize incoming emails.
– Respond to general inquiries and forward specific emails to relevant team members.
– Draft and send emails on behalf of team members as required.

2. **Calendar Management and Scheduling:**
– Coordinate appointments, meetings, and events.
– Send reminders to team members about upcoming commitments.
– Manage conflicts and reschedule as necessary.

3. **Document Preparation and Management:**
– Create, format, and edit documents and presentations.
– Organize and maintain digital files for easy access.

4. **Data Entry and Management:**
– Input data into various platforms and maintain databases.
– Ensure the accuracy and confidentiality of information.

5. **Customer Service Support:**
– Handle customer inquiries via email or chat.
– Provide information about products or services and resolve issues.

6. **Social Media Management:**
– Update and maintain social media profiles.
– Schedule and post content across various platforms.

7. **Research:**
– Conduct online research for projects, products, or information as required.
– Compile findings into structured reports or presentations.

8. **Expense Tracking and Reporting:**
– Monitor expenditures and prepare financial reports for multiple companies in Wave accounting system.
– Assist with invoice processing and reconciliation.

**Standard Operating Procedures (SOPs):**

1. **Email Management:**
– Check emails at set intervals (e.g., morning, midday, and late afternoon).
– Use specific criteria to filter and tag emails for prioritization or delegation.
– Draft template responses for common inquiries.

2. **Calendar Management and Scheduling:**
– Use a shared digital calendar for all scheduling tasks.
– Confirm availability with all parties before booking appointments or meetings.
– Set reminders for important dates or deadlines.

3. **Document Preparation and Management:**
– Follow a standardized format for documents and presentations.
– Use cloud storage services with organized folders for document management.
– Regularly back up important files.

4. **Data Entry and Management:**
– Use specific software or platforms designated for data entry.
– Double-check all data for accuracy before saving.
– Follow data privacy guidelines to protect sensitive information.

5. **Customer Service Support:**
– Respond to customer inquiries within a specified timeframe (e.g., within 24 hours).
– Use a polite and professional tone in all communications.
– Escalate complex issues to the appropriate team member.

6. **Social Media Management:**
– Plan content calendars in advance.
– Use scheduling tools to automate posts.
– Monitor engagement and interact with the audience as necessary.

7. **Research:**
– Define clear objectives and criteria for each research task.
– Use reputable sources and verify information accuracy.
– Summarize findings in a concise and organized manner.

8. **Expense Tracking and Reporting:**
– Use financial software or spreadsheets for tracking expenses.
– Collect and file all receipts and invoices digitally.
– Prepare monthly financial reports for review.

**Qualifications:**

– Proven experience as a Virtual Assistant or in a similar role.
– Excellent written and verbal communication skills.
– Strong organizational and time management skills.
– Proficient in MS Office, Google Suite, and various social media platforms.
– Ability to work independently and manage multiple tasks simultaneously.
