We are looking for a competent Executive Assistant to provide high-level administrative support to our Director. The successful candidate will be responsible for managing the day-to-day operations of the Director and ensuring seamless communication and coordination within the business. The Executive Assistant will play a pivotal role in enhancing the productivity and efficiency of our organization.
Responsibilities:
1. Calendar Management: Effectively manage and prioritize the executives’ calendars, including scheduling appointments, meetings, and conference calls, and resolving any conflicts or overlapping commitments.
2. Travel Arrangements: Coordinate all aspects of domestic and international travel for the executives, including flight bookings, hotel accommodations, ground transportation, and visa arrangements.
3. Meeting Coordination: Prepare agendas, organize materials, and coordinate logistics for meetings, conferences, and events. Take accurate meeting minutes and follow up on action items as necessary.
4. Communication Management: Act as a gatekeeper and ensure timely and appropriate communication between the executives and internal/external stakeholders. Draft, review, and edit emails, correspondence, presentations, and other documents.
5. Information Management: Efficiently handle and prioritize incoming correspondence, emails, and phone calls. Manage and maintain confidential information, documents, and files.
6. Project Support: Assist with special projects and initiatives by conducting research, preparing reports, analyzing data, and providing recommendations to support decision-making processes.
7. Relationship Building: Establish and maintain positive working relationships with internal teams, clients, partners, and vendors. Represent the executives professionally in various interactions and events.
8. Office Management: Oversee administrative tasks, such as office supplies procurement, expense reporting, invoice processing, and other general administrative duties as needed.
Qualifications:
• Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
• Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
• Excellent verbal and written communication skills, with exceptional attention to detail.
• Proficiency in using productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management software.
• Discretion and ability to handle confidential information with utmost professionalism.
• Strong problem-solving skills and ability to think proactively.
