Job Description

WHO WE ARE:
We are a US based eCommerce business that sells physical products on platforms such as Amazon, Walmart and eBay, however Amazon consumes roughly 90% of our marketplaces. We are ranked in the top 1% of merchants on the Amazon platform based on revenue and performance. We’ve been on the platform since 2010. We are a wholesale based reseller, so we’re buying products from brands and manufacturers & distributors. We do not do Private Label or Arbitrage.

OUR IMMEDIATE NEED:
We are in dire need of an Executive Assistant to help the President of the company manage his daily affairs including schedule, email, and basic day-to-day needs. The ideal candidate will be responsible for managing the President’s calendar, coordinating meetings, handling email correspondence, and assisting with various personal and professional tasks to ensure smooth and efficient operations. This role requires a high level of discretion, reliability, and flexibility, as well as the ability to work independently in a fast-paced remote environment.

We are looking for someone stable and steady for the long term. This is a full time job with at least 7-8 hours per day, 5 days a week guaranteed. While weekends is usually respected as time off, with a company that literally operates 24 hours a day, 7 days a week, must have some flexibility in the event something is needed during the weekend.

Responsibilities Include, Not Limited To:
– Manage and organize the President’s calendar, including scheduling appointments, meetings, and travel arrangements.
– Monitor, sort, and respond to email correspondence, ensuring timely and professional communication.
– Prepare and organize documents, presentations, and reports as required.
– Assist in coordinating virtual and in-person events, including logistics and attendee management.
– Provide timely reminders for important tasks, deadlines, and meetings.
– Conduct research and manage special projects as directed by the President.
– Act as the liaison between the President and internal/external stakeholders.
– Handle confidential information with discretion and integrity.
– Perform other administrative duties as necessary to support the President’s day-to-day operations.

Qualifications:
– Proven experience as an Executive Assistant, Virtual Assistant, or similar role, preferably in an eCommerce or tech environment.
– Excellent written and verbal communication skills.
– Strong organizational skills and the ability to multitask and prioritize work effectively.
– Proficient in MS Office, Google Suite, and familiar with project management tools such as ClickUp.
– Ability to handle confidential information with discretion.
– Available to work in different time zones as needed.
– Reliable internet and power.
– Must be detail focused.
– Deep knowledge of Slack, WhatsApp and other messaging tools.
– Available for a long period.

Skils:
– Exceptional time management and the ability to organize and coordinate complex schedules.
– High level of proficiency in digital communication and collaboration tools in the English languange.
– Strong problem-solving skills and the ability to work under minimal supervision.
– Adaptability and flexibility to handle the dynamic needs of the President and the company.
– Strong interpersonal skills and the ability to communicate effectively with a variety of stakeholders.
– Bonus provided if proficient in other languages such as Spanish.
