Job Overview:
We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be a proactive professional capable of handling a wide range of tasks with discretion and attention to detail. This role requires strong communication skills, the ability to manage complex schedules, and a commitment to maintaining confidentiality.
Responsibilities:
1. Calendar Management:
– Coordinate and manage executive calendars, ensuring efficient scheduling of meetings, appointments, and travel arrangements.
– Anticipate and prepare for upcoming events, proactively addressing potential scheduling conflicts.
2. Communication:
– Serve as the primary point of contact for internal and external communications on behalf of the executives.
– Draft and proofread emails, letters, reports, and other documents, maintaining a high level of accuracy and professionalism.
3. Travel Coordination:
– Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation.
– Provide detailed travel agendas and ensure executives are well-prepared for trips.
4. Meeting Support:
– Coordinate and prepare materials for meetings, conferences, and presentations.
– Attend meetings, take minutes, and follow up on action items to ensure timely execution.
5. Information Management:
– Manage and organize confidential information with discretion, maintaining accurate records and files.
– Conduct research and compile data to support decision-making processes.
6. Administrative Tasks:
– Perform general administrative tasks such as screening calls, managing email correspondence, and handling routine inquiries.
– Process expense reports and invoices in a timely manner.
Compensation : Starting between 25,000 – 32,500 php
Qualifications:
– Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
– Excellent organizational and time management skills, with the ability to prioritize tasks efficiently.
– Strong written and verbal communication skills.
– Proficiency in MS Office suite and other relevant software applications.
– Discretion and ability to handle sensitive information with confidentiality.
– Flexibility to adapt to changing priorities and work in a fast-paced environment.
Education and Experience:
– Bachelor’s degree in Business Administration or related field preferred.
– 2 years of experience as an Executive Assistant or in a similar administrative role.
