Role Summary:
We are on the lookout for a highly organized, proactive Executive Assistant to provide direct support to our CEO. The ideal candidate will excel in making the CEO’s life more manageable and efficient through meticulous calendar management, inbox handling, and overall executive support. This role is crucial in facilitating the CEO’s focus on strategic objectives by minimizing administrative burdens.
Key Responsibilities:
Direct Assistance to the CEO: Act as the right hand to the CEO, providing high-level support to streamline their daily operations and enhance productivity. Understand the CEO’s priorities to effectively manage their time and resources.
Calendar Management: Take charge of the CEO’s calendar, scheduling meetings, appointments, and conference calls, considering optimal time management and priorities to ensure a balanced and efficient workflow.
Inbox Management: Oversee the CEO’s email, prioritizing critical communications and ensuring that all messages receive timely responses. Serve as a gatekeeper to filter important information and reduce information overload.
Executive Support: Provide comprehensive support to the CEO, including preparing documents, creating presentations, and coordinating meeting logistics. Facilitate communications with both internal and external stakeholders, maintaining confidentiality and professionalism at all times.
Project Coordination: Assist the CEO with project management responsibilities, liaising with internal teams and external partners to ensure project milestones are met and deliverables are achieved on schedule.
Event Planning: Organize and manage events directly related to the CEO’s activities, including executive meetings, and other company-related events, ensuring seamless execution and attention to detail.
Administrative Duties: Handle a variety of administrative tasks to support the CEO, maintain documents, and contribute to the efficiency of the executive office.
Qualifications:
Demonstrated 3 years of experience as an Executive Assistant, preferably with direct support to C-level executives.
Exceptional organizational skills and impeccable attention to detail.
Strong multitasking ability, with a talent for prioritizing tasks in a high-pressure environment.
Superior communication and interpersonal skills, with the ability to interact with stakeholders at all levels.
High proficiency in Microsoft Office Suite and familiarity with various business software.
Discretion and confidentiality are paramount.
