Job Description

JOB RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

• Read emails and prepare outgoing mail or correspondence
• Manage professional and personal scheduling for Yod and Nicole, including agendas, mail, email, calls, client management.
• Intimately support Yod and Nicolle Branch with duties related to coordinating appointments, managing calendars, and coordinating communication to keep a lot of plates spinning in the air!
• Manage, coordinate, and arrange travel-related activities, including hotel booking, transportation, and meal coordination as requested.
• Database management – implement and keep track of documentation and filing processes
• Social media posting and management is an option if things go well.
• Responding and sharing Social media will be about an hour a day.
• Assisting in managing construction projects to stay on task and budget by communicating via call or text with the project lead, and inquiring about their progress toward meeting deadlines for each trade being completed (such as plumbing, etc.).
• For Branch Brothers Construction Company frequent communication with owners, project leads (also called superintendents) to obtain information about where they are at regarding timelines and budgets to create weekly reports meant to keep the jobs on time and financial target. Weekly team meetings are Monday mornings at 8am Pacific Time. We would discuss if EA would need to be present at the meetings or not as we get to know our processes.
• Attend meetings with CEO, when requested, to identify action items, deliverables, take notes, and schedule follow-ups
• Continuously review and update SOPs to optimize efficiency and effectiveness in supporting the CEO and the organization as a whole
• Understand the CEO’s goals and objectives in order to effectively anticipate deliverables and follow up when necessary.
• Partner closely with the CEO, owners, property management and employees to coordinate needs across the organization.
• Collaborate on internal operations and HR projects as the company scales
• Drafting internal and external communications
• Provide support with financial tasks and reporting – basic financial tasks
• Take ownership of additional duties and special projects, as needed

EXPERIENCE AND SKILLS REQUIRED:

• 2+ years of experience as an Executive Assistant for the C-Suite.
• Demonstrate a solid typing WPM (ideally 55 wpm+)
• Excellent English skills, and able to communicate well both verbally and in writing
• Experience with remote team tools like Time Doctor, Slack, Asana / Trello , Google Suite, LastPass, Skype and Zoom
• Social Media experience is preferred but not required
• Project management experience is preferred but not required
• Has previous experience with operations and managing team
• Is a quick start who quickly turns tasks around and takes action; knows how to be persistent and resourceful to solve problems, remove roadblocks and get things done
• Exhibits strong professionalism – demonstrated poise, tact, and diplomacy when dealing with the CEO, other leaders and members of the team
• Must be able to work independently and excel in a deadline-driven environment that involves multiple, simultaneous projects
• Strong skills in analyzing information, formulating logical and objective conclusions and making effective recommendations.
• Superior organization skills and dedication to completing projects in a timely manner.
• Has a genuine passion for supporting others.

Job Type: Part-Time

Schedule: Monday – Friday 7am-11am PST// Monday – Friday 10pm – 2am PHT
Salary Range: Php 20,000 – 30,000 monthly, Depending on experience

• This position initially offers part-time but has the potential to transition to full-time
