Me and my business partner are in search of a proactive and highly skilled Executive Assistant to support our task. This role is integral to enhancing the executive’s effectiveness and maximizing their time. The ideal candidate will embody a growth mindset, a knack for problem-solving, and a strong aptitude for learning (especially being a reader) and technical proficiency.
Key Responsibilities:
• Manage and optimize the executive’s calendar, schedule appointments, coordinate internal/external meetings, and arrange travel.
• Act as the primary point of contact for the executive, screening calls and emails, and interfacing professionally with clients, vendors, and internal team members.
• Prepare, review and edit documents, reports, and presentations ensuring accuracy and quality.
• Handle confidential information with a high degree of discretion.
• Anticipate the executive’s needs and act proactively to address them, while also being a keen problem solver in crisis situations.
• Assist in preparation and negotiation of contracts liaising with relevant departments as needed.
• Conduct comprehensive research and data analysis to aid decision-making.
• Engage in special projects and execute tasks as assigned.
• Being a problem solver and knowing how to process issues reflect a higher level of analytical and critical thinking skills. This could be seen as an extension of the proactive attitude and attention to detail discussed earlier.
• Being unafraid of losing one’s job and willing to provide honest feedback even when it’s contrary to decisions made, speaks to a level of courage and honesty that’s invaluable in fostering a transparent and constructive working relationship.
• Entrepreneurial Spirit. This highlights a self-starter attitude and a willingness to take on responsibilities that contribute to the betterment of the organization, akin to an entrepreneur but within the confines of the company
Qualifications:
• Minimum of 5 years of experience as an Executive Assistant or in a similar role.
• Excellent organizational and multitasking abilities.
• Proficient in Microsoft Office Suite, Adobe, data analytics tools, and comfortable with AI applications.
• Strong written and verbal communication skills, with a flair for copywriting.
• Fluent in English.
• Ability to handle sensitive information with the highest degree of integrity and confidentiality.
• Willingness to continuously learn, grow, and adapt to new challenges. A reader with an intrapreneurial spirit.
• Technical savvy with good PC skills and openness to learning new software.
• Bachelor’s degree in Business Administration or related field is preferred.
