You will be in the day to day of helping me run a growing business, scheduling my personal life, and most importantly be a vital member to our teams success.

Job Description:
– Organizing and handling my calendars, setting up appointments, and making sure all commitments are met.
– Regularly checking and organizing email inboxes, prioritizing messages, and ensuring timely responses.
– Handling and filtering messages, ensuring that important communication is promptly conveyed.
– Coordinating and scheduling appointments, both personal and professional
– Crafting and sending cards for various occasions, maintaining a personal touch in professional and personal relationships
– Assisting in budget management, including reconciliation, expense tracking, and ensuring everything is accounted for.
– Proficient in researching and compiling data to support decision-making, prepare for meetings, and ensure well-informed and strategic assistance to me
– Proactively ensuring that tasks assigned are completed in a timely and efficient manner.
– Frequent meetings with me to discuss tasks, schedules, and other related matters. This involves regular check-ins to review ongoing projects, discuss upcoming schedules, and brainstorming.
– Get what big goals I’m aiming for, know which ones come first, and understand how I decide where to put my energy and effort.

Skill Requirements:
– Ability to communicate effectively, both written and verbally.
– Proficient in crafting professional and articulate written communications.
– Understanding of basic accounting principles for budget reconciliation.
– Capacity to quickly grasp and synthesize large amounts of information.
– I read a lot and am basically always trying stuff from the books I read so you probably also need to be a reader (I use audible)
– Basic knowledge on email management software, presentation and worksheet apps (e.g. Google Suite is what I mostly use)

Notes on working with me from around the office:

1. Be honest, he can take it well and both of you will be able to workout the problem if you continue to be open
2. Ask him about his expectations: on a given project, ask as much questions as you need to, it’s better to annoy him on the first meeting than move on and a few days later he finds out you never really understood his points at all
3. Update him in regards to progress as soon as possible and don’t be afraid of asking questions even just to clarity
4. Be on time on meetings, depending on your level of experience, your first months could be rough if he feels that you need some “breaking in” to our pace of working and company culture, that’s from my personal experience at least, just be ready for it.
5. Know when it’s “friendly time” or “professional time” TJ loves to joke around especially in the beginning of meetings, but it’s easy to fall into the habit of just going off tangent even if it’s already time for work talk, that may just be me as well but it could help.
