The Role: The Executive Assistant will be responsible for providing comprehensive administrative and organisational support to the executive team, including the CEO and other senior leaders. You will be the key point of contact between the executives and internal/external stakeholders, requiring exceptional communication, problem-solving, and time management skills. Your ability to handle confidential information with the utmost discretion and professionalism is vital to the success of this role.

Key Responsibilities:

– Calendar and Schedule Management: Proactively manage and coordinate the executive’s calendars, scheduling meetings, appointments, and events efficiently. Anticipate and resolve scheduling conflicts to optimise their time.

– Meeting Support: Prepare and distribute meeting agendas, materials, and presentations in advance. Take meeting minutes and follow up on action items to ensure timely completion.

– Communication Liaison: Act as the primary point of contact for internal and external communication on behalf of the executives. Handle correspondence, emails, and phone calls with professionalism and diplomacy.

– Document Management: Organise, maintain and archive confidential documents, reports, and files. Ensure that information is easily accessible when needed.

– Project Support: Assist in managing special projects and initiatives, collaborating with cross-functional teams as required.

– Event Coordination: Assist in planning and coordinating company events and conferences.

– Confidentiality and Discretion: Maintain the highest level of confidentiality and handle sensitive information with the utmost discretion.

Requirements:

– Proven work experience as an Executive Assistant or in a similar administrative role supporting C-level executives.

– Excellent verbal and written communication skills in a professional and articulate manner.

– Strong organisational and time management skills, with the ability to prioritise tasks effectively.

– High attention to detail and accuracy in all aspects of work.

– Proficiency in using productivity tools, including MS Office Suite or Google Suite and calendar management applications such as Acuity and Calendly.

– Ability to work efficiently under pressure, juggling multiple tasks and deadlines.

– Strong interpersonal skills, with the ability to build positive working relationships with colleagues and external contacts.

– Excellent problem-solving and decision-making capabilities.

– Discretion and confidentiality in handling sensitive information.

– Proactive and self-motivated with a positive attitude.
