Responsibilities and duties
Managing the day-to-day operations of the company and ensuring that the organization’s business goals and objectives are met.
Operational Oversight: Oversees the various departments and functions of the company, ensuring that they are running smoothly and efficiently. This involves setting performance goals, monitoring key metrics, and implementing strategies to improve operational effectiveness.
Strategic Planning: Collaborate with the CEO and other executives to define the company’s overall strategic direction and develop plans to achieve long-term goals. Brings an operational perspective to the strategic discussions and helps translate strategies into actionable initiatives.
Cross-Functional Collaboration: Fosters collaboration and communication across different departments and teams. They work closely with other executives and managers to align objectives, resolve conflicts, and promote a cohesive and efficient working environment.
Process Improvement: Responsible for identifying areas for process improvement and implementing initiatives to streamline operations, enhance productivity, and reduce costs. They may employ various methodologies, such as lean management or Six Sigma, to drive operational excellence.
Risk Management: Assess and manages operational risks that may impact the organization’s performance or reputation. They establish risk mitigation strategies, implement controls, and ensure compliance with relevant regulations and industry standards.
Resource Allocation: Oversees resource allocation, including budgeting, staffing, and capital investment decisions. They collaborate with finance and HR departments to optimize resource allocation and ensure that the company’s operational needs are met.
Performance Monitoring: Monitors key performance indicators (KPIs) to evaluate the company’s operational performance. They use data-driven insights to identify trends, address issues, and make informed decisions to drive continuous improvement.
Change Management: Leads and facilitates change management initiatives within the organization. They play a vital role in driving organizational transformation, managing transitions, and fostering a culture of adaptability and innovation.
Calendar and schedule management: Responsible for managing their executive’s calendar, scheduling meetings, appointments, and travel arrangements. They need to coordinate with internal and external stakeholders to ensure optimal use of the executive’s time.
Communication and correspondence: Handle incoming calls, emails, and other forms of communication on behalf of the executive. They may draft and prepare correspondence, memos, and reports, and ensure timely responses to inquiries.
Meeting coordination: They arrange and coordinate meetings, including preparing agendas, taking meeting minutes, and organizing necessary resources. They may also be responsible for arranging meeting venues, equipment, and catering if required.
Information management: They maintain and organize files, records, and documents, both in physical and electronic formats. They may also research and gather information for reports or presentations.
Relationship management: May act as a liaison between the executive and other team members, clients, partners, or stakeholders. They may coordinate with different departments or external parties on behalf of the executive to ensure effective communication and collaboration.
Confidentiality and discretion: Handle sensitive and confidential information regularly. They must exercise a high degree of professionalism, integrity, and discretion in handling such information.
Project coordination: They may assist with special projects or initiatives, coordinating tasks, tracking deadlines, and providing support as required. They may also collaborate with other administrative staff or teams to ensure project success.
Miscellaneous administrative tasks: May handle various administrative tasks, such as preparing expense reports, managing office supplies, processing invoices, and maintaining office equipment.
Supporting the CEO in strategic decision-making and representing the company in the absence of the CEO.
Requirements:
– Must have strong leadership skills to guide and motivate teams. They should be able to inspire trust, provide clear direction, and foster a collaborative and high-performance culture within the organization.
– Must have the ability to think strategically and translate high-level goals into actionable plans. They should understand the broader business landscape, anticipate market trends, and align operational strategies with the overall strategic vision of the company.
– Must have a strong foundation in operational management. They should have a deep understanding of various business functions, processes, and best practices. This expertise enables them to identify operational inefficiencies, implement improvements, and drive operational excellence.
– Effective communication skill. They must be able to articulate complex ideas, provide clear guidance, and influence stakeholders at all levels of the organization. Strong communication skills are also essential for collaborating across departments and building relationships with external partners.
– Must be a skilled problem solver. They should have the ability to analyze complex situations, identify root causes, and develop innovative solutions. A strong analytical mindset and the capacity to make data-driven decisions
– Must have the ability to navigate through ambiguity
– Should be results-oriented and focused on achieving measurable outcomes. They should set clear performance metrics, track progress, and hold teams accountable for meeting goals. A drive for continuous improvement and a commitment to excellence
– 2 or more years of SOLID Experience Required
