Job Description

We are a growing Commercial Interior design business looking for an Executive Assistant to help us with everyday management tasks.

This is a contract based remote job for 20 hours a week, to start with. Great for anybody who has minimum 4 years experience with office management and is willing to learn more.

– You must be available either from 8 AM PST to 12Pm PST (12AM PhST to 4 AM PhST)
OR from 3 PM PST to 7PM PST (7AM PhST to 11AM PhST)
– You pick what works best for you.
– Workdays: Monday – Friday, US time.

Experience you need to have:
– 4 Years of experience in Office Management or VA.
– Google sheets and docs.
– Microsoft office.
– Photoshop and illustrator.
– Social media platforms management: FB groups and pages, Instagram, Tik-Tok.
– CRM HubSpot basic knowledge is a plus.
– Asana project management program basic knowledge is a plus.
– WordPress basic knowledge is a plus.
– QuickBooks basic knowledge is a plus.

Tasks we need help with:
– Emails communications with potential clients, such as sending preliminary proposals, scheduling zoom calls.
– Phone calls to schedule zoom calls or get more information when needed.
– Managing calendars.
– CRM Hubspot keeping up with notes about leads.
– Posting press releases on different websites.
– Online research.
– Formatting PDF documents as needed.
– Ordering prints or items for clients online.
– Managing FB group and our Instagram pages.
– Schedule photographers to take photos of complete projects locally and in other states for our portfolio.
– We may have more tasks as we get to know you. 🙂
