About Us:
Dr Damian Poustie manages a dynamic portfolio of companies, including Premier Sports & Spinal Medicine, Melbourne Headache Solutions, Premier Pilates, Healthcare Coaching, and Clinic Marketing. These companies encompass five clinics, a team of 50 dedicated staff, and 50 high-ticket coaching clients. We seek an exceptional Executive Assistant to support Dr. Poustie in managing these diverse and fast-paced operations.
Position Overview:
We seek an organized, proactive, and experienced Executive Assistant to manage a wide range of administrative and support tasks for Dr. Damian Poustie. The ideal candidate will be a natural multitasker, able to handle everything from scheduling to office management while maintaining high professionalism and efficiency.
Key Responsibilities:
Executive Assistant to the CEO
-Experience in project management
-Day-to-day tasks of a CEO, including email management, organization, and booking meetings.
-Research and basic accounting
-Creating systems, SOP, and automation for start-up companies.
-Calendar management
-Handling enquiries by phone, email, text
Administrative Duties:
Manage admin rosters and practice schedules, including adding classes to Serenity (being a fast learner and attention to detail is vital, especially using software)
Manage resources, clinic supplies (theraband, needles, pillows, etc.), and office supplies (paper, toilet paper, kitchen supplies, etc.).
Process paperwork for new practitioners, including initial provider numbers, online claiming on Tyro, and Worksafe forms ( all via electronic systems)
Add and remove practitioners from the HICAPS machine via the software interface.
Manage 3rd party agreements and payroll.
Financial Management:
Oversee MYOB accounts, including accounts payable and receivable.
Approve leave requests and manage the Pilates leave planner.
Handle overdue accounts and clinic rent payments, liaising with rental managers as needed.
Staff and Patient Coordination:
Attend management meetings and train practitioners on basic admin tasks.
Act as a reference point for all staff, ensuring smooth clinic operations.
Portfolio Management:
Assist Dr. Poustie in managing five clinics and a team of 50 employees.
Support high-ticket coaching clients with scheduling, communications, and administrative tasks.
Coordinate marketing efforts for the various companies in the portfolio.
Ensure seamless integration and communication between different entities within the portfolio.
Qualifications:
Proven experience as an Executive Assistant or in a similar administrative role.
Excellent organizational and multitasking abilities.
Ability to organise and systemise business processes
Strong communication and interpersonal skills.
Ability to handle sensitive information with confidentiality.
Detail-oriented and capable of managing multiple priorities simultaneously.

May extend to full-time for exception candidates with 5+ years of CEO executive assistant experience and additional qualifications and experience.
