Company Description:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. As a key member of our organization, the Executive Assistant will play a crucial role in ensuring the efficient operation of our company and the productivity of our executives.

Responsibilities:
1. Calendar Management:
– Manage calendars and schedule appointments, meetings, and travel arrangements for executives.
– Coordinate internal and external meetings, including logistics, agenda preparation, and follow-up actions.

2. Communication Management:
– Screen and prioritize incoming calls, emails, and correspondence on behalf of executives.
– Draft and prepare professional correspondence, presentations, and reports as needed.

3. Information Management:
– Organize and maintain files, records, and confidential documents in both electronic and physical formats.
– Conduct research, gather data, and compile information for various projects and reports.

4. Meeting Support:
– Prepare meeting materials, agendas, and presentations, ensuring accuracy and completeness.
– Attend meetings, take minutes, and distribute action items to relevant stakeholders.

5. Relationship Management:
– Serve as the primary point of contact for internal and external stakeholders, including clients, vendors, and partners.
– Build and maintain positive relationships with key contacts and handle inquiries and requests professionally and promptly.

6. Travel Coordination:
– Arrange travel itineraries, accommodations, and transportation for executives, including international travel as needed.

7. Project Coordination:
– Assist with project planning, tracking, and coordination across departments.
– Collaborate with team members to ensure deadlines are met and deliverables are completed on time.

8. Administrative Support:
– Provide general administrative support, such as, but not limited to, filing, copying, scanning, and faxing documents.
– Order office supplies, maintain inventory, and coordinate office maintenance and repairs as needed.

Qualifications:
– Experience as an Executive Assistant or similar role, supporting C-level executives or senior management.
– Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
– Strong attention to detail and accuracy in all aspects of work.
– Excellent verbal and written communication skills, with a professional and polished demeanor.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
– Discretion and confidentiality when handling sensitive information and confidential matters.
– Bachelor’s degree in business administration, communications, or a related field is preferred.
