We’re looking for somebody incredibly smart with significant experience who follows instructions and therefore produces good results. You’ll need to be comfortable working under pressure to meet last minute deadlines and you must be a natural problem solver capable of independently resolving problems quickly in order to ensure targets are met regardless of difficulties one might face. It is imperative that you have impeccable writing skills and understand formal etiquette when communicating with clients.
This role is not suitable for brand new VA’s / people that are not incredibly academic and we ask that you do not apply if you do not meet the requirements below.
Experience Required:
5 years work experience as an Executive Assistant, Personal Assistant at corporate firm
Proficiency with Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook
Proficiency with Google Suites such as Google Drive, Google Mail, Google Docs, Sheets, etc.
Excellent verbal and written communications skills
Outstanding organisational and time management skills
Works well under pressure in a busy, fast-paced environment
Academic, problem solver with a University degree
Discretion and confidentiality
Follows instructions and therefore submits accurate work under minimum supervision.
Job Responsibilities:
Organise and maintain the office e-filing system
Web research and organise data
Extensive calendar and diary management
Answering and directing telephone calls
Managing email inbox and sending responses
Coordinating schedules, meetings and appointments
Preparing memos, letters, invoices, statements and other documents
Liaising with clients, colleagues and other members of the team
Writing minutes and reporting back with actions
Providing secretarial and administrative support to Personal Concierge team
Household management, including administration pertaining to running a household
Handling specific projects e.g. planning a holiday, house move or event
Sending daily reminders to your principal
Maintaining your to-do list & your client’s to-do list
Assisting with restaurant reservations
Event Planning
Typing, formatting, editing reports, documents, and presentations.
Entering data, maintaining databases, and keeping records.
Managing internal and external correspondence.
Observing best business practices and etiquette.
