Our office is based in Toronto, Ontario. We have a large, bright, and very modern office space in the financial district off King Street right next to the subway. POSITION INFORMATION

Job Title: Bookkeeper & Executive Assistant

JOB PURPOSE

As the bookkeeper and administrator, you will be an integral part of the CannDelta team, assisting the C-Suite Executives in various capacities. You will be responsible for categorizing transactions, accounts receivable and accounts payable, creating invoices and matching payments and helping to process payroll. We may assign other administrative tasks such as updating the events page of our website ad social media, taking in-bound calls and messages, coordinating meetings with clients, and reporting to the CEO and Chief Scientific Officer as required for light bookkeeping duties by helping coordinate schedules.

KEY ACCOUNTABILITIES

Assist with day-to-day operations of the office (8:45 am – 5:15 pm, Monday-Friday)
Record and categorize day-to-day business transactions
Prepare invoices and follow up on accounts using QuickBooks (Intuit QuickBooks Software) data entry/calculations, including preparing invoices, payroll, bank transactions and deposits.
Monitor accounts receivable and accounts payable, ensuring all supplier bills are appropriated for payment and are processed when necessary
Ensure that clients receive high-quality service and act as key contact for any bookkeeping-related questions.
Provide clerical support and general office administrative tasks as required.
Help coordinate executives’ schedules, calendars, appointments, and meeting room bookings.
Inform the management team of daily activities and priorities
Help to organize meeting rooms to prepare for in-person meetings.
Inventory and order office supplies (pens, paper, kitchen supplies, etc..) weekly.

You will be accountable for the following:

Ensuring timely invoicing and following of accounts receivable
EXPERIENCE & EDUCATION REQUIREMENTS

Certificate required.
Undergraduate degree preferred.
At least 1 year of experience in a role as a bookkeeper.

ADDITIONAL REQUIREMENTS

Working experience of QuickBooks, with leading computer literacy, is a strong asset.
Office Administration and Human Resources (payroll processing) experience is an asset.
Work accuracy, strong attention to detail and organizational skills are greatly appreciated.
Excellent time management skills and ability to multi-task and prioritize work.
Solid oral and written communication skills with a comfort speaking to clients on their accounts.
Ability to adapt and learn new skills.
Ability to be discreet, professional and maintain confidentiality at all times.
