### Job Description: Executive Administrative Assistant for Insurance Claim Recovery Support

#### Position Description:
Insurance Claim Recovery Support (ICRS) public insurance adjusters seeks a hardworking and ethical Executive Administrative Assistant who can help to empower our COO and organization for growth. The ideal candidate will be a proactive self-starter who is an exceptional communicator, with meticulous organization skills and attention to detail. Given the dynamic nature of the role, you should be flexible, ready to pivot at a moment’s notice, and possess a strong work ethic. #### Roles & Responsibilities:
– **Administrative Support:**
– Provide comprehensive administrative support to the COO to ensure daily operations run smoothly.
– Manage communication with employees, including screening COO email and phone calls.
– Serve as a liaison between the COO and internal/external stakeholders, including clients and other senior-level executives.
– **Document and Presentation Preparation:**
– Prepare presentations and reports for internal and external meetings, ensuring clear and effective communication of key messages.
– Assist in planning, maintaining documentation, SOP development, and tracking the progress of business projects and KPIs, ensuring timely completion and adherence to deadlines.
– **Calendar and Travel Management:**
– Oversee calendar management for the CEO and COO, including digital calendaring, appointment setting, meeting organization, and other company logistics.
– Manage travel logistics, including scheduling reservations, accommodations, and transportation as necessary.
– **Office and Administrative Support:**
– Provide administrative and office support such as note-taking, spreadsheet creation, and other tasks as needed.
– Handle errands, online payments, mail, shipping, and file/document management.
– **Compliance Management:**
– Manage state licensing and bond requirements for public adjusters within the firm, ensuring timely submission of documents to respective state authorities for processing and maintaining compliance for public adjusters to operate within those states.
#### Required Skills and Experience:
– **Experience:** Seven (7) + years’ experience in an administrative role supporting senior leadership or as a paralegal.
*Property Insurance Claims or Paralegal Experience preferred.
