About Us:
We are looking for a proactive and organized individual to join our team as an Executive Virtual Assistant. The ideal candidate will provide top-notch administrative support to our executive, ensuring efficient and smooth day-to-day operations. This role requires someone who is highly adaptable, detail-oriented, and capable of managing multiple tasks with discretion and professionalism.

Key Responsibilities:

• Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements to ensure optimal time management.
• Handle email and communication management, including filtering emails, responding to inquiries, and drafting correspondence on behalf of the executive.
• Prepare and edit documents, presentations, and reports as needed, ensuring high quality and timely delivery.
• Coordinate and manage logistics for meetings and events, including setting up video conferences, preparing agendas, and taking minutes.
• Conduct research and data analysis tasks as directed to support decision-making and project planning.
• Act as the point of contact between the executive and internal/external clients, maintaining a professional and courteous demeanor.
• Manage expense reports and financial documentation, ensuring accurate record-keeping and timely submissions.
• Assist with personal tasks and errands as needed, demonstrating flexibility and discretion.
• Implement and maintain organizational systems and processes to improve efficiency and productivity.
• Stay up-to-date with technological advancements and software tools relevant to the role, suggesting improvements where applicable.

Qualifications:

• Proven experience as an executive assistant, virtual assistant, or in a similar role.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets, Slides).
• Excellent written and verbal communication skills.
• Ability to manage time effectively and prioritize tasks in a fast-paced environment.
• High level of discretion and confidentiality.
• Strong organizational skills and attention to detail.
• Capable of working independently with minimal supervision.
• Availability to work across different time zones as needed.
• Bachelor’s degree or equivalent experience preferred.
