Nautical Staffing is looking for an experienced, detail-oriented, and organized Executive Assistant for our US-based client in the Service Industry in California.
Responsibilities:
?- Assist in bookkeeping tasks, such as monitoring transactions, generating invoices, managing accounts payables and receivables, conducting revenue reconciliation, financial reporting, etc.
– Provide administrative support to ensure the productivity of the management and the company
– Exhibit strong research skills and communication skills to arrange accommodations, airfare, and itineraries for business and personal travel.
– Proactively handle changes and adjustments to travel plans.
– Creation of Social Media posting to increase the trajectory of Business digital presence.
– Work closely with the internal creatives team to create engaging Social Media posts, including detailed outlines, captivating visuals, and curated videos.
– Maintain meticulous organization of both professional and personal calendars, ensuring efficient scheduling and coordination.
– Act as a gatekeeper, managing and prioritizing appointments based on client’s priorities.
– Facilitate email connection to utilize voice mails to enhance communication efficiency with the clients.
– Provide comprehensive support for diverse projects, such as managing grass rebate initiatives and navigating subscriptions with entities with various vendors.
– Engage in proactive problem-solving to secure refunds or credits from service providers.
– Assist in monthly expense management, categorizing and analyzing expenditures albeit from
– Track and manage airline credits, ensuring optimal utilization.
– Oversee the weekly cash management process for the business while maintaining accuracy and transparency.
– Efficiently generate and manage invoices for the client, ensuring timely payments and Credit card Management.
– Maintain an accurate and organized record of information and files, conduct data entry, prepare reports, and uphold confidentiality
Perform other related tasks as needed
Qualifications:
– Prior experience in bookkeeping is Required
– Prior experience with Quickbooks
– Prior experience in executive assistance is required
– Prior experience with Maintaining and Managing TripIt application(Or similar software)
– Prior experience with Social Media Management
– Must be able to quickly learn new tools and procedures
– Must have excellent communication, organizational, and time management skills
– Must have excellent problem solving, analytical, and multi-tasking skills
– Must be willing to work part-time to start, and eventually transition to full-time
– Must be willing to work during US Pacific business hours
