Job Summary
An Executive Secretary or Office Manager supports the office operations and executives by managing
administrative staff, organizing schedules, coordinating meetings, managing documents, and
ensuring efficient office operations. This role often serves as the primary point of contact for internal
and external stakeholders.
Responsibilities:
• Provide comprehensive support to executives, including email management, scheduling, and
document preparation.
• Oversee daily office operations for efficiency and organization.
• Manage administrative staff by delegating tasks and ensuring deadlines are met.
• Prepare, manage, and file documents, reports, and presentations.
• Schedule and organize meetings, including logistics, agenda preparation, and minute-taking.
• Serve as the liaison between executive team, staff, external partners, and clients.
• Assist in project planning and execution to meet timelines and goals.
• Oversee office expenditures, including budget preparation and monitoring.
• Organize company events, from small meetings to large corporate gatherings.
• Manage office supplies inventory to ensure resources are available as needed.
• Requires a bachelor’s degree in business administration, communications, or related field.
• Several years of experience in administrative roles preferred.
• Proficiency in office software (e.g., MS Office Suite) and scheduling and communication
tools.
• Exceptional organizational skills to manage multiple tasks simultaneously.
• Excellent verbal and written communication skills.
• Strong interpersonal skills for effective interaction at all levels.
• Ability to identify issues and implement effective solutions promptly.
• Handle confidential information with integrity and discretion.
• Work is typically office-based, with significant time at a desk.
• May require extended hours or weekend work during deadlines or events.
• Physical demands include sitting for long periods, using computers, and attending meetings.
• Maintain a highly organized and efficient office environment.
