Job Description

We are seeking an experienced Executive Assistant to provide high-level administrative support to our company President. Applicant must be highly fluent in written and verbal English with 8 or 9 out 10 competency language skills. The Executive Assistant will be responsible for managing communications with customers, scheduling and handling various administrative tasks related to property management matters.

Responsibilities:
Manage the President’s correspondence, including responding to emails and phone calls, drafting emails and other communications, and ensuring that all correspondence is handled in a timely and professional manner.
Perform administrative tasks related to property management matters, such as organizing property inspections, preparing property reports, and managing tenant communications.
Communicate effectively between and on behalf of multiple constituents, including property owners, tenants, regulatory bodies, vendors, staff members and others.
Provide impeccable customer service to all clients by responding to emails, voicemails, and other communications promptly.
Manage all work order submissions from tenants, assigning technicians and contractors as appropriate.
Lead and coordinate the tenant turnover process for properties that are vacant and being prepared for new tenants, including cleaning, maintenance, compliance, and property preparation.
Troubleshoot issues and work orders on behalf of tenants and owners
Schedule service with maintenance technicians or vendors and follow up to ensure quality of work and completion.
Maintain a positive, productive relationship with tenants
Manage special projects as assigned by the President.

Qualifications:
2+ years of experience in an executive assistant or similar role, preferably supporting a high-level executive.
Fluent in English both verbal and written.
Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
Excellent communication skills, both verbal and written.
Strong attention to detail and accuracy.
Proficient in Google Documents, Gmail, Facebook, and other relevant software.
Ability to work independently and as part of a team.
Discretion and confidentiality in handling sensitive information.
