Job Description

???? Context
We’re a stealth-ish startup backed by a16z building a new kind of email experience powered by AI. This goes far beyond AI-generated summaries and responses in the same old Gmail UI that hasn’t changed in 20 years – we’re reimagining everything from the ground up.

Our tiny team has built products at Google and founded venture-backed startups funded by some of the best investors. We’re currently in NYC/remote but we will be focusing on more in-person coworking in NYC and SF as we grow.

???? We are looking for an exceptional Executive Assistant who is highly organized, proactive, and detail-oriented to support our founding team and ensure the smooth operation of our growing startup.

???? Responsibilities
– Provide high-level administrative support to the CEO/founder, including managing calendars, scheduling meetings, and coordinating travel arrangements.
– Assist with personal tasks for the CEO/founder
– Handle confidential information with discretion and professionalism.
– Prepare and edit correspondence, communications, presentations, and other documents as needed.
– Process payroll for employees and contractors.
– Track company expenses and income.
– Manage newsletter operations, lead generation for advertisers, coordinating, and scheduling of ad sponsorships.
– Conduct research, compile data, and prepare reports for consideration and presentation to the executive team.
– Assist in the planning and execution of company events, meetings, and off-sites.
– Liaise with internal and external stakeholders, acting as a point of contact for executives.
– Manage special projects and initiatives, ensuring timely and successful completion.
– Maintain an organized filing system for electronic documents.
– Perform other duties as assigned to ensure the smooth operation of the executive office.

????????? Qualifications
– Bachelor’s degree or equivalent experience in a related field.
– 2 years of experience as an Executive Assistant or in a similar role, preferably in a startup or fast-paced environment.
– Exceptional organizational and time-management skills, with a keen attention to detail.
– Strong written and verbal communication skills.
– Proficiency in Google Workspace, and other productivity tools.
– Ability to work independently and prioritize tasks in a fast-paced, dynamic environment.
