About This Position
The Executive Assistant reports into the CEO and is responsible for the day-to-day administration tasks. You will assist with everything from answering emails, booking calendars, conducting market research, pulling reports and data together and creating attractive presentations.
Responsibilities:
-Collaborating with the CEO, internal teams, clients and partners on company strategy.
-Read, respond and manage email inbox
-Managing spreadsheets and reports while compiling data and information to present to leadership in a clean format or presentation
-Managing the Google Calendar for the CEO
-Conducting market research and presenting findings
-Manage all travel itineraries booking flights, hotels, transportation etc.
-Helping identify industry trends and key opportunities for innovation.
-Learning and working with various types of software for digital marketing.
-Working closely with the sales and marketing department.
-Creating marketing materials such as white papers, case studies, and presentations.
-Providing administrative support to the marketing and sales team.
-Preparing, formatting and editing a range of documents.
-Analyzing questionnaires and other forms of feedback.
-Log and track all out-of-pocket costs associated with ongoing projects and initiatives to ensure accuracy and timely payment to vendors
-Develop solutions to complex problems when needed
-Present progress and results of tasks to management and other interested parties in person or in digital format
Qualifications:
-4 years experience as an Executive or Virtual Assistant to a US or Canada based individual
-Self-motivated and focused with a high-level of attention to detail and sense of urgency
-Proven ability to communicate, both verbally and written, with people at all levels of an organization
-Must be computer literate with proficiency in MS Word, MS Excel, MS PowerPoint, Gmail, Google Meet, HubSpot, Canva with -the ability to learn new computer systems and software
-Proven ability to manage multiple tasks while working independently
-Have a real passion for protecting our environment and the ocean
