Reporting to: Managing Director

Overview:
We are seeking a highly skilled and efficient Virtual Executive Assistant to support our Managing Director. This remote role is ideal for a well-organised and tech-savvy individual, with strong capabilities in virtual communication and administration. The successful candidate will play a critical role in streamlining the Managing Director’s workload, especially in the realms of construction claims and disputes assessment. Applicants with an interest or background in the construction, legal, or commercial sectors will find this role particularly rewarding.

Key Responsibilities:

Provide exceptional virtual administrative and organisational support to the Managing Director.
Manage emails, scheduling, and calendar appointments, ensuring efficient time management.
Facilitate remote communication and coordination between the Managing Director and clients, staff, and other stakeholders.
Assist in preparing and organising digital documentation related to contract administration, construction claims, and commercial management.
Conduct online research and compile data to support decision-making and strategy development.
Maintain confidentiality and discretion with all sensitive information.
Support in the preliminary analysis and review of construction claims and disputes, under guidance.
Handle virtual logistics for meetings, including setting up video conferences and preparing digital meeting materials.
Provide assistance in drafting and proofreading documents, reports, and presentations.
Qualifications and Experience:

Proven experience as a Virtual Assistant, Executive Assistant, or similar administrative role.
Strong familiarity with virtual office environments and remote communication tools (e.g., Zoom, Microsoft Teams, Slack).
Capability in using office management software (e.g., MS Office Suite, Google Workspace) and project management tools.
Basic understanding or interest in the construction, legal, or commercial sectors is an advantage.
Excellent organisational and time-management skills.
Skills:

High level of proficiency in managing digital documents and online resources.
