Job Title: Executive Assistant for CEO & Marketing Director

Overview:
We are seeking a highly organized and proactive Virtual Assistant to support the Marketing Director and CEO of our multi-level organization The ideal candidate will be adept at handling various administrative tasks and possess excellent communication skills. This role requires a high level of discretion, attention to detail, and the ability to manage multiple priorities efficiently.

Responsibilities:

1. Accounts Payable:
– Manage the payments of recurring software and other bills as they come up.
– Update the tracker with important information so that we can handle our accounting properly.

2. Research:
– Conduct market research to stay updated on industry trends, competitor activities, and consumer preferences.
– Compile data and create reports to assist in strategic decision-making.

3. Drafting:
– Assist in drafting emails, memos, and other written communication on behalf of the CEO and Marketing Director.
– Prepare documents for internal and external distribution, ensuring accuracy and professionalism.

4. Setting Up Systems:
– Implement and maintain efficient organizational systems to streamline workflows.
– Collaborate with the team to optimize processes and enhance overall productivity.

5. Data Entry:
– Accurately enter and manage data related to marketing campaigns, sales reports, and other relevant information.
– Ensure data integrity and confidentiality in all data-related tasks.

6. Social Media & Email Scheduling:
– Coordinate and schedule social media posts and emails across various platforms, experience in Social Media and tools like Hubspot & Mailchimp a plus.
– Collaborate with the graphic, content & marketing team to implement a cohesive and effective social media & email strategy.

7. Phone Calls:
– Handle and screen incoming calls for the CEO and Marketing Director.
– Conduct outgoing calls for follow-ups, scheduling, and other necessary communications.
– Maintain a professional and courteous demeanor in all interactions.

Qualifications:

– Proven experience as a virtual assistant or in a similar administrative role.
– Attention to detail is key.
– Excellent organizational and time-management skills.
– Proficient in using project management software such as Clickup.
– Exceptional written and verbal communication skills.
– Ability to handle sensitive information with confidentiality and discretion.
– Tech-savvy with a good understanding of social media platforms.
