Job Summary:
The Executive Assistant position is a core team member who is responsible for assisting the planning and project management of new projects the CEO creates, coordinating with team members to complete projects and tasks, organizing the CEO’s calendar and task load, gathering resources, and doing tasks to reduce the CEO being a bottleneck and coordinating CEO appearances.

In this position, your main responsibility is to drive new projects and tasks the CEO determines to be important and serve as a liaison between the CEO and other team members. Your goal is to create more time for the CEO by taking tasks off her plate and either taking care of the tasks yourself or delegating them to other team members. You will also respond to questions and provide resources to team members and agencies, as directed by the CEO.

You’ll also be responsible for managing the CEO’s calendar, taking minutes of the team meetings, and completing online research to complete projects.

You must have excellent communication skills in managing expectations and delivering that extra WOW! Factor that keeps projects moving along while keeping team members engaged and feeling productive. It’s essential that you have a strong knowledge of how Thrive operates so you can manage projects, gather and create resources efficiently, and create an enjoyable experience with all parties involved.

This position is ideal for someone who has exquisite attention to detail, works quickly and efficiently and loves working with people, and thrives by completing tasks and projects quickly and with excellence. You must also have discretion with confidential information and be looking to establish long-term work with a fast-growing, successful company.

Experience you must have:
– Minimum of 3 years of executive assistant or project management experience
– Experience supporting the CEO during launches, live events and campaigns
– Experience in the Business and/or Life Coaching Industry
– Excellent communication skills both written and verbal

Executive Assistant Tasks of this Role:
– Take meeting notes, taking utmost confidentiality into consideration
– Create and manage project plans for new projects
– Gather and organize resources for and by the CEO
– Support CEO to arrive at all meetings fully prepared
– Quickly respond to team member requests
– Organize the CEO’s calendar
– Ensure that the company’s brand is represented in all projects
– Organize daily appointments, communications, and general work-life of founders to ensure enhanced effectiveness and efficiency
– Travel support
– Plan vacation travel and find local resources
– Handles clerical and administrative duties for the business including client onboarding
– Prepares confidential reports, correspondence and other information
– Manage team members and lead special projects for business operations
– Build relationships with team members

Requirements:
– Will start as part-time with 10-30 hours per week, with the opportunity to grow into a full-time role
– Available to work during US PST hours
– High-speed internet connection with backup service to minimize interruptions
– Personal computer

Compensation:
$8-$15 USD per hour depending on experience
