Responsibilities:
• Manage executives’ calendars, schedule meetings, and coordinate appointments, ensuring efficient use of time and resources.
• Prepare and format documents, reports, and correspondence with a high level of accuracy and attention to detail.
• Respond promptly and professionally to incoming calls, emails, and online messages, ensuring clear and effective communication.
• Organize and arrange travel logistics, including flights, accommodations, and transportation, as needed.
• Conduct research, gather data, and compile reports to support decision-making processes.
• Assist in preparing presentations, reports, and other documents for internal and external communications.
• Handle sensitive and confidential information with discretion and maintain strict confidentiality.
• Proactively manage follow-up tasks, deadlines, and action items to ensure timely completion.
• Collaborate with team members and cross-functional departments to support operational and administrative needs.
• Continuously identify opportunities to improve administrative processes and contribute to overall team efficiency.
• Assist with special projects, social media campaigns, and other administrative tasks as assigned.
Qualifications:
• Proven experience as an Admin/Executive Assistant or similar role, preferably in a remote work environment is a plus, but not required.
• Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
• Strong written and verbal communication skills, with exceptional attention to detail.
• Proficient in using productivity tools and software such as Microsoft Office, Google Workspace, project management tools, and virtual communication platforms.
• Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
• Self-motivated and proactive with a strong sense of ownership and accountability.
• Strong problem-solving skills and the ability to adapt to changing priorities and deadlines.
• Exceptional interpersonal skills, with the ability to work collaboratively and build positive relationships with team members and stakeholders.
