Job Description

The Executive Assistant will provide high-level administrative support to the Operations Director in a fully remote capacity. The ideal candidate will be highly organized, proactive, and capable of managing multiple tasks simultaneously from a remote setting. This role involves coordinating with other staff, handling confidential information, and acting as a liaison between the executive and others within and outside the organization.

Key Responsibilities:

Calendar Management: Schedule and manage appointments, meetings, and events for the executive, ensuring efficient use of time and prioritization of tasks.

Communication: Handle incoming and outgoing communications, including emails, phone calls, and written correspondence, on behalf of the executive.

Travel Coordination: Arrange travel itineraries, accommodations, and logistics for domestic and international trips.
Meeting Support: Prepare agendas, take minutes, and distribute follow-up actions for meetings. Ensure all materials are ready in advance.

Document Preparation: Draft, review, and edit reports, presentations, and other documents.

Project Management: Assist in the planning and execution of projects, including tracking progress and ensuring deadlines are met.

Office Management: Maintain virtual office organization, manage digital files, and ensure a well-organized virtual workspace.

Confidentiality: Handle sensitive information with the highest level of confidentiality and discretion.

Relationship Management: Act as a point of contact between the executive and internal/external stakeholders, fostering positive relationships.

Qualifications:

Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
Experience: Minimum of 3 years of experience as an executive assistant or in a similar role supporting senior executives.

Skills:
Organizational Skills: Exceptional ability to manage time, prioritize tasks, and handle multiple responsibilities simultaneously.
Communication Skills: Excellent written and verbal communication skills, with a professional and courteous demeanor.
Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) , Google Workspace (Spreadsheet), and familiarity with other office productivity tools.
Remote Work Skills: Proven ability to work independently and manage tasks in a remote environment, with strong self-discipline and time management skills.
Attention to Detail: High level of accuracy and attention to detail in all aspects of work.
Problem-Solving: Strong problem-solving skills and the ability to think proactively and independently.
Interpersonal Skills: Strong interpersonal skills and the ability to build and maintain relationships at all levels of the organization.
Adaptability: Ability to adapt to changing priorities and handle pressure in a fast-paced environment.
Discretion: Ability to maintain confidentiality and exercise good judgment when handling sensitive matters.

Working Conditions:
Hours: Full-time position with some flexibility required for occasional overtime or after-hours work.
Location: Fully remote with required high-speed internet access and a suitable home office setup.
