**Job Description: Executive Assistant**

**Location:** Davao Office

**About the Role:**
As an Executive Assistant, you will play a pivotal role in supporting our executives by efficiently managing their work-related tasks and ensuring seamless communication and coordination within the team. Your responsibilities will range from calendar management to project coordination, travel arrangement, and financial transactions handling.

**Key Responsibilities:**

1. **Calendar Management:** Coordinate schedules, appointments, and meetings for the executives. Ensure timely reminders and assist in prioritizing tasks as per their requirements.

2. **Team Communication:** Serve as a primary point of contact for incoming and outgoing correspondence, including emails, phone calls, and other communications. Efficiently manage communication flow to ensure prompt responses.

3. **Travel Arrangement:** Plan and organize travel itineraries for the executives, including flights, accommodation, ground transportation, catering, and meeting schedules. Ensure travel plans are efficient and align with executive preferences and requirements.

4. **Project and Event Management:** Assist or lead in coordinating special projects and events, both internal team events and external engagements. This involves planning, execution, and budget management.

5. **Administrative Support:** Handle various administrative duties in the Davao office, such as filing, photocopying, managing office supplies, and greeting visitors. Ensure smooth office operations.

6. **Processing Transactions:** Handle day-to-day financial transactions, including processing invoices, receipts, payments, and other financial documents. Manage accounts payable and receivable, ensuring timely payments and follow-up on outstanding invoices.

7. **Reconciliation:** Perform monthly reconciliations of bank accounts, credit cards, and other financial accounts to ensure accurate recording and alignment with the organization’s financial statements.

8. **Liaising with Financial Stakeholders:** Act as a point of contact for external stakeholders, including banks, vendors, and clients, regarding financial transactions and inquiries. Maintain positive relationships and ensure clear communication.

**Qualifications and Skills:**

– Proven 1 year experience as an executive assistant or similar role.
– Excellent communication and interpersonal skills.
– Strong organizational and multitasking abilities.
– Proficiency in Microsoft Office Suite and other relevant software.
– Attention to detail and problem-solving skills.
– Ability to work effectively under pressure and meet deadlines.
– Prior experience in financial transactions handling is a plus.
– Bachelor’s degree in business administration or related field preferred.
