Job Title: Executive Assistant
Work hours: Part-time 10 hours/week
Timezone: Pacific Standard Time (PST)
Initial work schedule: 9:00 to 11:00 am PST, Mondays to Fridays
Rate: $4-5 per hour DOE

Job Overview:
As an Executive Assistant, you will play a crucial role in supporting our team by providing administrative assistance and ensuring smooth operations. This position requires proficiency in various tools including Google Suite, Canva, Project Management Software, Zoom, Fathom notetaker, Calendly, and Godaddy. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills.

Responsibilities:
1. Canva: Utilize creative thinking skills to design visually appealing materials at a level 8 or higher in design proficiency.
2. Google Sheets: Create and maintain professional-looking spreadsheets, including setting up formulas, calculations (e.g., commissions), and implementing conditional formatting such as drop-down menus and color coding.
3. Document Creation: Translate ideas into visually appealing documents, ensuring a professional look. Develop templates for Standard Operating Procedures (SOPs) to be used across the organization.
4. Calendly: Set up and manage Calendly accounts, ensuring synchronization with multiple calendars.
5. Meeting Summaries: Efficiently summarize meeting discussions and outcomes using Fathom notetaker, then upload them to a designated common area for reference.
6. Task Assignment: Compile action items from meetings and assign them out using project management software.
7. Google Slides: Create professional pitch decks and slide decks for client meetings and presentations.
8. Google Drive: Maintain a highly organized Google Drive system, ensuring easy access and efficient storage of documents.
9. Light Tech Troubleshooting: Perform basic troubleshooting tasks, such as fixing broken email forwarding rules between Godaddy and Gmail.

Qualifications:
1. Proficiency in Google Suite, including Google Sheets, Google Slides, and Google Drive.
2. Experience with Canva for design purposes, with a proficiency level of 8 or higher.
3. Familiarity with project management software for task management and organization.
4. Ability to effectively utilize Zoom for virtual meetings and collaboration.
5. Experience with Calendly for scheduling and calendar management.
6. Knowledge of Fathom notetaker for meeting summaries.
7. Basic understanding of tech troubleshooting, particularly with email systems like Godaddy and Gmail.
8. Excellent organizational skills and attention to detail.
9. Strong communication skills, both written and verbal.
10. Ability to work independently and manage multiple tasks efficiently.
11. Nice-to-have: Experience in Hubspot for additional CRM and marketing support.
