Job Description:

We are seeking a professional, organized, and diligent Executive Assistant to join our team. The Executive Assistant will be responsible for providing comprehensive administrative support to senior executive leaders, ensuring the smooth operation of our office and management teams.

Responsibilities:
– Manage and coordinate executive schedules, arranging meetings, conferences, and teleconferences as necessary.

– Prepare and write professional emails, memos, letters, and other forms of internal and external communication on behalf of executives.

– Use project management software to track, monitor, and manage ongoing projects and tasks, ensuring they are completed in a timely manner.

– Review, prioritize, and route correspondence; take action when necessary.

– Prepare and compile documents for meetings, including taking detailed minutes.

– Handle confidential information with a high level of discretion and professionalism.

– Conduct research and compile data as requested.

– Maintain an organized system of electronic and paper documents to ensure easy retrieval when needed.

– Assist in the planning and coordination of events and meetings.

– Perform other administrative tasks as assigned, including but not limited to, travel arrangements, expense reports, and filing.

Qualifications:
– Previous experience as an Executive Assistant or in a similar administrative role is preferred.

– Exceptional written and oral communication skills, with an ability to communicate effectively with all levels of management.

-Strong knowledge of project management software and other computer programs including MS Office Suite, Google Workspace, etc.

-Ability to manage and prioritize multiple tasks in a fast-paced environment.

-High level of organization and attention to detail.

-Excellent problem-solving and decision-making skills.

-Ability to handle sensitive and confidential information with discretion.

-Proactive, self-motivated, and able to work independently with minimal supervision.
