We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will be a detail-oriented self-starter with exceptional multitasking abilities, capable of handling a dynamic workload in a fast-paced environment. This role requires proficiency in Microsoft Planner, Teams, social media content creation, and task compliance, ensuring smooth operations and effective communication within the organization.
Position: Executive Assistant to the CEO
Location: Remote
Reports To: Chief Executive Officer (CEO)
Employment Type: Full-time
Hours: 8am to 5pm Mountain Time Zone (10pm to 7am PH)
Key Responsibilities:
1. Microsoft Planner Management:
– Maintain and update tasks in Microsoft Planner, ensuring all assignments are tracked and deadlines are met.
– Automate task creation and updates by integrating Planner with Outlook and Teams.
– Develop and use standardized checklists and templates for recurring tasks.
2. Task Compliance:
– Verify that all tasks meet company guidelines and standards.
– Create and maintain compliance checklists to facilitate task verification.
– Utilize Quality Assurance (QA) tools to automate compliance checks.
3. Social Media Content Creation:
– Plan and schedule social media posts in advance using content planning tools.
– Maintain an idea bank for social media content, staying up-to-date with trends.
– Collaborate with the marketing team to create engaging and brand-consistent content.
4. Blog Creation and Optimization:
– Transcribe video content into text and edit it into blog posts.
– Use SEO tools to optimize blog content for better search engine visibility.
– Manage and update the company blog, ensuring regular publication of high-quality content.
5. Microsoft Teams Organization:
– Create and maintain structured channels and tabs within Microsoft Teams.
– Conduct regular audits of Teams channels to ensure relevance and organization.
– Assist team members in using Teams effectively for collaboration and communication.
6. Follow-Up Emails:
– Develop templates for follow-up emails to ensure consistency and efficiency.
– Use email automation tools to schedule and send reminders and follow-up emails.
– Track and manage responses to follow-up emails, ensuring timely communication.
7. General Administrative Support:
– Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
– Prepare reports, presentations, and other documents as needed.
– Handle confidential information with discretion and professionalism.
Qualifications:
– Bachelor’s degree in Business Administration, Communications, or a related field.
– Minimum of 3 years of experience as an executive assistant or in a similar role.
– Proficiency in Microsoft Planner, Teams, Outlook, and other Office 365 tools.
– Strong organizational skills and attention to detail.
– Excellent written and verbal communication skills.
– Ability to work independently and manage multiple tasks simultaneously.
– Experience in social media content creation and SEO optimization is a plus.
– High level of professionalism and the ability to maintain confidentiality.
