Position Title: Executive Assistant (active Pooling)

Job Description:
We are currently seeking a dynamic and experienced individual to join our team as an Executive Assistant. This position offers a unique opportunity to support senior management in their day-to-day activities while also providing virtual assistance to various projects and tasks across the organization.
Responsibilities:
Executive Support: Provide comprehensive administrative support to senior management, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Email and Communication Management: Handle incoming emails, prioritize correspondence, and respond to inquiries on behalf of senior management. Serve as a point of contact for internal and external stakeholders.
Document Preparation: Prepare and edit documents, presentations, and reports as needed. Ensure accuracy and consistency in formatting and content.
Project Coordination: Assist in coordinating projects by tracking progress, scheduling meetings, and liaising with team members to ensure deadlines are met.
Data Management: Manage and organize data, including maintaining databases, generating reports, and analyzing information as required.
Virtual Assistance: Provide virtual support to various departments and team members, including administrative tasks, research, and other ad-hoc projects.
Meeting and Event Support: Assist in organizing meetings, conferences, and events by coordinating logistics, preparing materials, and providing on-site support as needed.
Confidentiality: Maintain strict confidentiality and discretion in handling sensitive information and documents.
Requirements:
– Proven experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role, preferably supporting senior executives.
– Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
– Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
– Ability to work independently with minimal supervision, while also being a collaborative team player.
– Flexibility and adaptability to changing priorities and deadlines in a fast-paced environment.
– Bachelor’s degree or equivalent experience preferred.
Preferred Qualifications:
– Experience working in a virtual or remote environment.
– Knowledge of basic accounting principles and bookkeeping tasks.
– Familiarity with video conferencing and virtual collaboration tools (e.g., Zoom, Slack, Microsoft Teams).
– Previous experience in industries such as technology, finance, or consulting.
