Job Description

JOB DESCRIPTION:

. Virtual Meeting Coordination: Schedule and set up virtual meetings and video conferences for any client touch base and/or discovery calls.
· Communication Management: Answer phone calls and SMS on the company’s direct line, ensuring prompt and professional responses.
· Email and Calendar Management: Efficiently manage email correspondence and maintain calendars for Adam and Trevor.
· Client Relations and Support: Serve as a primary point of contact for clients, ensuring their needs are met and queries are resolved promptly.
· Administrative Support: Provide administrative support to Operations and Recruitment.
· Client Interview Coordination: Seek clients’ availability for interviews with applicants, and schedule and send invites to applicants lined up for interviews.
· Marketing Initiatives Monitoring: Oversee email lead management and track social media marketing initiatives.
· Contract Management: Send, track, and maintain client contract agreements.
· Lead Management: Engage in lead-chasing activities to maintain and warm up potential clients.
· Social Media Collaboration: Assist in managing social media accounts and campaigns in collaboration with the marketing team.
· Project Management: Assist and support the founders with any tasks or projects as needed.

PREFERRED QUALIFICATIONS:

– Experience with project management software (e.g., Asana, Trello)
– Familiarity with remote work best practices and tools
– Previous experience in a remote administrative role or virtual assistant position.
– Handle other duties and special projects as assigned by management

REQUIREMENTS:

– Proven experience as an administrative assistant or similar role in a remote setting
– Proficient in using remote communication and collaboration tools (e.g., Zoom, Microsoft Teams, Slack, Google Workspace)
– Excellent written and verbal communication skills
– Strong organizational and time management abilities
– Attention to detail and accuracy
– Ability to work independently and prioritize tasks effectively
– Discretion and confidentiality when handling sensitive information
