Job Description

The right candidate will have successfully worked for an e-commerce product marketing team in one of the following markets/industry verticals: nutritional supplements, beauty, skincare, sexual health, women’s health, influencer marketing, or general health and wellness products. Priority will be given to those candidates who have successfully scaled a scrappy, hands-on startup marketing team in support of ambitious, measurable, profitable goals .

Our fast-growing brand and premium product line continues to bring our brand to life, we want to continue to establish Dr. Anna as a trusted voice and advocate in menopause, hormone treatment options, and sexual health. She really is “The Girlfriend Doctor” – The first call for a woman who has questions she would only ask her best girlfriend… if her girlfriend were a triple-board-certified OB-GYN.

Our goal is to clearly and compellingly describe our brand’s programs and products to reach more audiences, in a personal and authentic way. The Executive Assistant will be responsible for anticipating the needs of the CEO and working to streamline daily administrative and operational tasks, while supporting strategic initiatives, functioning as a partner, and managing long-term projects.

The ideal candidate for this role possesses excellent project management and organizational skills, and is willing to help out wherever needed.

THE IDEAL CANDIDATE:
** Has previous experience with operations and managing team
** Is a quick start who quickly turns tasks around and takes action; knows how to be persistent and resourceful to solve problems, remove roadblocks and get things done
** Exhibits strong professionalism – demonstrated poise, tact, and diplomacy when dealing with the CEO, other leaders and members of the team
** Must be able to work independently and excel in a deadline-driven environment that involves multiple, simultaneous projects
** Strong skills in analyzing information, formulating logical and objective conclusions and making effective recommendations.
** Superior organization skills and dedication to completing projects in a timely manner.
** Has a genuine passion for supporting others.

JOB RESPONSIBILITIES:
** Read emails and prepare outgoing mail or correspondence
** Attend meetings in place of the CEO, when requested, to identify action items, deliverables, and follow-ups
** Maintain the CEO’s calendar in a thoughtful and purposeful manner, ensuring meetings contain the appropriate attendees, agenda items, and any changes are done with full consideration of a nationwide/worldwide team, spanning multiple time zones.
** Understand the CEO’s goals and objectives in order to effectively anticipate deliverables and follow up when necessary.
** Partner closely with the Profit Center Managers, CEO and Operations Team to coordinate needs across the organization.
** Collaborate on internal operations and HR projects as the company scales
** Database management – implement and keep track of documentation and filing processes
** Drafting internal and external communications
** Provide support with financial tasks and reporting
** Take ownership of additional duties and special projects, as needed

Experience and Skills Required:
** 2+ years of experience as an Executive Assistant for the C-Suite
** Advanced with gDrive, MS Office, SquareSpace; Quickbooks is a huge plus.
** Strong organizational ability; able to streamline and organize paperwork and documentation so it’s easy to access by all stakeholders
** Demonstrate a solid typing WPM (ideally 45 wpm+)
** Excellent English skills, and able to communicate well both verbally and in writing
** Experience with remote team tools like Time Doctor, Slack, Asana / Trello / Favro, Google Suite, LastPass, Skype and Zoom, Facebook Business Manager
** Experience working with CFO and financials for reporting and reconciliation

Tech Requirements:
** Computer – at least i5 or equivalent with 8gb RAM
** Internet Speed – At least 50 MBPS Download speed

Work schedule: Monday – Friday 3 am – 12 pm CST // 5pm – 2am PH Time.
Salary Range: Php 60,000 – Php 80,000 monthly, DOE.
