Job Summary:
The Executive Assistant with Bookkeeping Skills will provide comprehensive administrative support to the executive team while also managing bookkeeping tasks for the organization. This role requires a unique blend of administrative prowess, exceptional organizational skills, and proficiency in bookkeeping principles and software. The ideal candidate will be able to seamlessly handle executive support duties while also managing financial records accurately and efficiently.

Responsibilities:

> Provide high-level administrative support to the executive team, including managing calendars, scheduling meetings, and handling correspondence.
> Coordinate travel arrangements and itineraries for executives.
> Manage executive expense reports and reimbursement processes.
> Prepare and distribute agendas, presentations, and meeting materials as needed.
> Act as a liaison between executives and internal/external stakeholders, ensuring effective communication and follow-up.
> Maintain confidentiality and handle sensitive information with discretion.
> Conduct research and compile data to support executive decision-making.
> Assist with special projects and initiatives as assigned.
> Maintain accurate financial records, including accounts payable, accounts receivable, and general ledger entries.
> Process invoices, expense reports, and reimbursements in a timely manner.
> Reconcile bank statements and credit card transactions.
> Prepare and submit monthly, quarterly, and annual financial reports.
> Assist with budgeting and forecasting processes.
> Ensure compliance with accounting principles and regulations.

Qualifications:

> Bachelor’s degree preferred.
> Proven experience as an executive assistant and bookkeeper.
> Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
> Experience with accounting software (e.g. Xero).
> Strong organizational and time-management skills.
> Excellent written and verbal communication skills.
> Attention to detail and accuracy.
> Ability to multitask and prioritize tasks effectively.
> Discretion and confidentiality with sensitive information.
> Knowledge of accounting principles and regulations.
> Ability to work independently and as part of a team.
> Flexibility and adaptability to changing priorities and deadlines.
