Job Overview:
We are seeking an enthusiastic and detail-oriented Executive Assistant to join our dynamic team. This role offers the unique opportunity to work directly with senior executives and architects, ensuring the smooth operation of our office and the success of our architectural projects. Your dedication and expertise will be instrumental in driving our company’s growth and success.

Key Responsibilities:
• Comprehensive Administrative Support: Manage the schedules of senior executives and architects, organize meetings, and handle phone and email communications with professionalism.
• Efficiency and Organization: Ensure the office runs seamlessly by handling all administrative tasks promptly, organizing project files, and monitoring project deliverables. Keep teams informed of project progress.
• Effective Communication: Maintain strong communication skills to ensure clients are satisfied with the services provided. You may also assist with payroll, vendor contracts, and financial matters related to our architectural firm.
• Research and Reporting: Conduct research on architectural projects, building codes, materials, and industry trends. Summarize findings and prepare reports for senior executives to support informed decision-making.

Requirements:
• 1-3 years of experience as an Executive or Administrative Assistant.
• Proficiency in Canva, social media scheduling tools (e.g., Later or Tailwind), Dropbox, and Google Suite.
• Strong attention to detail and excellent organizational skills.
• Ability to multitask and thrive under pressure.
• Flexibility and adaptability to handle diverse tasks.
• Resourcefulness and excellent problem-solving and decision-making abilities.
• Must work within the EST time zone (8 am to 4 pm) and commit to 30-40 hours per week.
