We are seeking an experienced and highly organized executive assistant to support our real estate executives. This role will require handling a diverse range of responsibilities including bookkeeping, appointment setting, data management, social media, and general administrative office duties.

Responsibilities:

Bookkeeping:
– Maintain financial records and assist with expense tracking for Real Estate Investing specific transactions
– Prepare invoices, process payments, and reconcile accounts.
– Conduct bookkeeping tasks including accounts payable/receivable, expense reports, and recording financial transactions

Appointment Setting & Inbox Management:
– Coordinate and schedule appointments for executives and clients.
– Maintain an organized calendar AND email Inbox, ensuring timely reminders and follow-ups.
– Efficiently manage communication to minimize scheduling conflicts.

Data Correction:
– Review and correct real estate data, ensuring accuracy and completeness.
– Update and maintain property listings, databases, and client information.
– Conduct data audits to identify and rectify inconsistencies.
– Update customer relationship management (CRM) systems and ensure data accuracy

Social Media Post Creation:
– Create engaging and visually appealing social media content related to real estate listings and company updates.
– Schedule and manage posts across various social media platforms.
– Monitor and respond to inquiries and engagement on social media channels.

General Office Skills:
– Provide administrative support, including phone handling, email correspondence, and electronic filing / Google Workspace
– Assist with office organization and maintaining supplies inventory.
– Collaborate with team members on ad-hoc tasks and projects as needed.

Requirements:
– 3+ years experience as an executive assistant, preferably in real estate
– Proficiency with G Suite/Office Suite software (Docs, Sheets, Slides)
– Proficient in Quickbooks
– Knowledge of bookkeeping and accounting basics
– Strong organizational skills with ability to juggle multiple tasks
– Excellent written and verbal communication abilities
– Experience scheduling appointments and managing calendars
– Social media marketing experience
– Self-motivated with ability to work independently
