Job Description

Personal Assistant and Certified Accountant and Sales Data Specialist is a key support position.

In the Sales Data Specialist, you will be responsible for managing the sales data (tracking of calls and outcomes of sales people activities and daily/weekly/monthly reports and reporting across the company.

You will be responsible for sales tracking and weekly accounts payable and receivables (invoices).

In the Personal Assistant role, you will intimately support the CEO, Vanessa Horn, with duties related to coordinating appointments (to involve calling and coordinating with US-based companies), managing her calendar, monitoring her email and making travel arrangements.

In the Certified Accountant Role, you will maintain Quickbooks categorizing of expenses to help maintain our books for our CPA.

In this role, you must be a dependable team member who is committed to serving both the company, our clients, and our executive staff. You will be privy to confidential information about our finances and our team, and we will be relying on you to look out for the best interests of our financial health.

The ideal candidate will have a strong background in accounting and Quickbooks, managing all phases of the accounting (AR, AP, General Ledger, P&L, Balance Sheet, etc) using GAAP (Generally-Accepted Accounting Procedures). Experience with US tax accounting is a huge plus.

You must have a meticulous eye for detail, spreadsheets, and accuracy. Getting the details right is your passion!

Job responsibilities include:

** Reviewing and reconciling bank and credit card accounts, processing payments to external partners and maintaining updated records of invoices and receipts.
** Track incoming payments from clients.
** Manage payment obligations to contractors.
** Reconcile financial statements monthly and maintain monthly reporting.
** Keep on top of sales data daily based on Sales Persons activities and make sure weekly and monthly reports are accurate.
** Manage invoicing and collections.
** Identify and address invoice discrepancies.
** Report on the status of accounts payable and receivable.
** Monitoring accounts for fraudulent activity.
** Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client ** management
** Maintain the CEO’s calendar in a thoughtful and purposeful manner, ensuring meetings contain the appropriate attendees, agenda items, and any changes are done with full consideration of a nationwide/worldwide team, spanning multiple time zones.
** Manage, coordinate, and arrange travel-related activities, including hotel booking, transportation, and meal coordination.
** Read emails and prepare outgoing mail or correspondence.

Experience includes:

** Proven work experience as an Accounts Administrator or similar role
** 3+ years of combined experience in Finance, Accounting or relevant field
** Hands-on experience with Quickbooks.
** Experience in Accounts Payable and Accounts Receivable.
** Advanced knowledge of Excel or Google Sheets (using financial formulas and creating spreadsheets)
** Good knowledge of bookkeeping procedures and debt collection regulations.
** Advanced experience in Excel and data management for reports, budgeting, etc.

Tech Requirements:

Computer – at least i5 or equivalent with 8gb RAM
Internet Speed – At least 50 MBPS Download speed
Familiarity with Google Suite (gmail, calendar and Google Docs)
Familiarity with Quickbooks online
