Job Description: Bookkeeping Executive Assistant
Position: Executive Assistant with Bookkeeping Experience
Reporting to: HR Manager and COO
Location: Remote

About the Role:
We are seeking a dedicated and detail-oriented Bookkeeping Executive Assistant to join our team. The ideal candidate will support the HR Manager and COO with a variety of bookkeeping and administrative tasks, ensuring smooth and efficient operations within the HR department and executive office. This is a remote position, offering the flexibility to work from anywhere.

Key Responsibilities:
Payroll Processing: Accurately process payroll on a bi-weekly/monthly basis, ensuring timely and accurate payments to all employees.

Screenshot Review: Regularly review employee screenshots to monitor productivity and compliance for payroll purposes.
Payment Setup: Setting up new clients in accounting software, charging initial fees, and setting up recurring payments.

Accounts Payables: Manage accounts payable functions, including the processing and reconciliation of invoices.

Accounts Receivables: Drafting and sending invoices, following up on outstanding balances due. Processing payments. Setting up recurring payment reminders

Bookkeeping: Reviewing accounting reports and correctly classifying or correcting line items.

US Taxes: While not a primary requirement, knowledge of US tax processes is a plus.

Administrative Support to COO:
Assist the COO with daily administrative tasks.
Manage the COO’s email inbox, prioritizing and responding to emails as necessary.
Maintain and organize the COO’s calendar, scheduling meetings, appointments, and travel arrangements.

Administrative Support to HR Manager:
Assist the HR Manager with various administrative tasks.
Support HR functions such as employee onboarding, record keeping, and compliance tracking.

Qualifications:
Proven experience with bookkeeping and organization
Experience with payroll processing is highly desirable.
Experience as an executive assistant or in a similar administrative role.
Experience with graveyard shift work.
Excellent organizational and multitasking abilities.
Strong attention to detail and accuracy.
Proficient in Google Suite (Gmail, Google Calendar, Google Drive, Google Docs, Google Sheets) and other relevant software.
Experience using Quickbooks as an accounting software
Strong communication and interpersonal skills.
Ability to work independently and manage time effectively in a remote work environment.
Familiarity with US tax processes is a plus.
