Work hours: Full time 8 hours daily

Initial work schedule: 9:00 am to 5:00 pm ET, Mondays to Fridays
Rate: $6-7 per hour DOE
The executive assistant is responsible for:
Gatekeeper of Executive’s time/schedules from people and tasks that can be solved or accomplished by others | Revising communication channels such as Slack to find issues relevant to the executive | Travel & accommodation arrangements | Support with managing the team that reports to the executive | Respond to emails as possible, and if not possible, organize emails needing the executive to respond to | Build reports and presentations for upcoming meetings | File/Documentation Management | SOP creation and optimization | Effective at doing research | Social Media support & management | light video editing.
Extra: Is interested and curious about advancements in AI (Artificial Intelligence) and looks for ways to implement AI to support the executive.

Requirements:
At least 3 years and above of experience in Executive Assistance work and at least 1 year experience in operations & project management related roles.
Must-have proficiency in the following tools: Google Suite, Zapier, Social Media Platforms, Video editing tools (Premiere pro is preferred).
Nice-to-have proficiency in the following tools: Integromat, Go High Level
Knowledge and understanding of both B2C and B2B model
Experience in the coaching and consulting industry is a plus.
Must be able to hold a full English conversation and be effective at writing
Advanced Organizational Skills: Ability to manage complex calendars, coordinate meetings, and juggle multiple priorities without missing a beat.
Proactivity: Anticipating needs and challenges and addressing them before they become issues. This might mean foreseeing potential scheduling conflicts, prepping materials in advance, or even reminding the executive of personal obligations.
Communication Skills: Effective and clear verbal and written communication is crucial. EAs often act as a gatekeeper, so they need to liaise and communicate effectively with stakeholders at all levels.
Confidentiality and Discretion: Handling sensitive information with the utmost discretion.
Adaptability: Navigating unexpected changes or challenges with ease and composure. The ability to pivot when plans change is critical.
Tech-savviness: Proficiency with a range of software tools, from email and calendar apps to CRM systems and project management tools. The ability to quickly learn and master new tools is a plus. WELL versed in GSuite.
Attention to Detail: Ensuring that even the smallest details are correct, from the accuracy of meeting minutes to ensuring proper arrangements for executive travels.
Strategic Thinking: Understanding the broader business landscape, company goals, and the executive’s role within it. This enables the EA to prioritize tasks more effectively and offer valuable input.
Relationship Management: Building and maintaining strong relationships both internally (with other departments and team members) and externally (with clients, partners, or stakeholders).
