Our client is a forward-thinking real estate development firm in New York. They pride themselves on a lean, dynamic team that operates with a sense of urgency to bring our visionary projects to life. As they continue to grow, we are seeking an Executive Assistant who can match their pace and drive.

Key Responsibilities:

1. Email Management: You will efficiently manage the Superhuman app email account, ensuring that the inbox remains organized and all emails are categorized based on different projects using the split inbox feature. You will prioritize, sort, and filter emails and flag urgent emails for timely responses, ensuring no critical communication goes unnoticed.

2. Schedule Management: It is crucial to maintain close coordination to ensure that any email correspondence related to appointments, meetings, and tasks are promptly flagged and attended to. Additionally, it is essential to immediately notify of any pressing matters or required schedule adjustments that may arise to avoid any potential conflicts or delays.

3. Communication: Draft, proofread, and send emails professionally for Company Real Estate. Ensure seamless communication between team members, clients, and stakeholders.

4. Daily Review: To maximize productivity and ensure timely resolution of urgent matters, it is essential to create a brief yet comprehensive summary of the day’s pivotal emails every morning before 10 a.m. This summary should highlight the most critical information and any actionable items that require immediate attention, enabling you to prioritize your tasks and stay on top of your responsibilities. By implementing this strategy, you can streamline your daily workflow and minimize the risk of overlooking important details or falling behind on urgent tasks.

5. Continuous Improvement: We regularly assess email processes and optimize the features of the Superhuman app for peak efficiency. This ensures productivity is maximized and the full potential of this powerful tool is realized.

About You:

–Demonstrated experience as an executive assistant or in a similar role, preferably within the real estate sector.
–Must be willing to work GY shift
–Proficiency with the Superhuman app and Appfolio tool, as well as a readiness to pick up new skills fast and become proficient with its capabilities.
–The candidate possesses exceptional communication skills, both written and verbal.
–Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
–Ability to work independently and as part of a team in a fast-paced, deadline-driven environment.
–Detail-oriented with strong analytical and problem-solving skills.

Work From Home Set-Up & Work Schedule. Since this role is 100% remote, we require:
–Stable internet service is a must. The primary internet should be cabled wired on either DSL or FIBER connection with a download/ upload minimum speed of 10 Mbps.
-Should have a backup internet solution – LTE Mobile Data or Pocket WIFI
–A desktop Computer or Laptop preferably with Intel i3 or equivalent processor, Windows 7 and above or MAC OSX OS, 8GB RAM
–A good headset with an extended microphone and noise cancellation is preferred Good external or integrated webcam
