We’re hiring an exceptional Executive Assistant to support our client in direct-to-consumer growth. As the Founder’s right hand, you’ll handle schedules, daily tasks, and special projects. There will be heavy investment back into the successful candidate to ensure they are growing both personally and professionally at a fast rate. A good fit will end up a chief of staff within 6-12 months.
Job Responsibilities:
– Task List and Travel Coordination: Organize tasks, manage travel, and create detailed itineraries.
– Personal Assistance: Handle reservations, errands, scheduling, paperwork, and personal logistics.
– Brand Assistance: Support in building personal and agency brands through social media, newsletters, podcasts, and more.
– Assist the executive in managing sales activities, including preparing sales reports, tracking sales metrics, and maintaining customer relationships.
– Provide administrative support during sales meetings, including taking minutes and following up on action items.
– Oversee the invoicing process, ensuring accuracy and timely submission of invoices to clients.
– Coordinate with clients to address any invoicing issues and ensure prompt payment.
– Filing receipts, and invoices and ensuring the bookkeepers have that stuff to do their job.
– Assist the accounting team with monthly financial reports and year-end closing activities.
– Manage the executive’s inbox and calendar, scheduling appointments and meetings as needed.
– Coordinate with clients and stakeholders to arrange meetings, ensuring all necessary preparations are made.
– Ensure all procurement requirements are met before submitting invoices, including obtaining purchase orders and necessary approvals.
– Liaise with client procurement departments to facilitate smooth and efficient processing of invoices.
Must-Have Requirements:
– Minimum of 3 years of solid work experience as an executive assistant with international clients.
– Experience in remote task management in the US, including managing inbox and calendars, coordinating dinners, housework, reservations, and trip planning.
– Experience putting together collateral for meetings, gathering, preparing, and summarizing meeting notes and memos.
– Basic understanding of digital marketing and online business operations.
– Managed social media platforms for CEOs/Executives.
– Highly proficient in G Suite, particularly Gmail, Docs, Drive, and Calendar.
– A self-starter with strong verbal and written communication skills.
– Possesses excellent organizational skills, eagerness to learn and extreme attention to detail.
– Can provide character references for a background check.
– Must work exclusively with us and be able to start ASAP and work long term
