As an Executive Assistant, you will provide high-level administrative support for the CEO remotely. Your primary responsibility will be to ensure the efficient operation of the executive’s daily activities and assist in managing their schedules, communications, and administrative tasks. You will be a key point of contact, both internally and externally, representing the executive’s office and maintaining confidentiality at all times. This is a remote position that requires excellent organizational skills, strong communication abilities, and the ability to work independently.
Job Description:
1. Calendar and Schedule Management:
• Manage the executive’s calendar, schedule appointments, and arrange meetings, ensuring all commitments are well-coordinated and optimized.
• Prioritize and arrange travel itineraries, accommodation, and other logistics for the executive’s business trips.
2. Communication and Correspondence:
• Screen and prioritize emails and other inquiries, handling them efficiently and professionally.
• Draft, edit, and proofread correspondence on behalf of the executive.
3. Meeting Coordination and Support:
• Prepare meeting agendas, materials, and presentations if needed.
• Attend meetings, take accurate minutes, and distribute them to relevant stakeholders.
• Follow up on action items and ensure timely completion of tasks.
4. Information Management:
• Organize and maintain confidential files, records, and databases.
• Conduct research and compile data to support decision-making and prepare reports as needed.
5. Relationship Management:
• Act as a liaison between the executive and internal/external stakeholders, maintaining strong professional relationships.
• Coordinate and facilitate communication with team members, clients, and business partners.
6. Administrative Support:
• Coordinate special projects, events, and initiatives as assigned by the executive.
• Perform general administrative tasks and other administrative duties as required.
Requirements:
• Proven experience as an Executive Assistant for C-level executives in a virtual or remote setting.
• Medical or healthcare background/experience or HIPAA-certified is a huge PLUS.
• Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
• Strong written and verbal communication skills, including the ability to draft professional correspondence.
• Proficiency in using productivity tools, such as calendar management software, project management tools, and document collaboration platforms.
• Tech-savvy with the ability to quickly adapt to new software and virtual communication tools.
• Exceptional attention to detail and ability to handle sensitive and confidential information.
• Strong problem-solving and decision-making skills.
• Ability to work independently with minimal supervision while maintaining a high level of productivity.
• Laptop or desktop that is at least I5, or I5 equivalent and above.
• Strong internet connection with backup internet available.
