Job Description

Kirova Dance Academy is seeking an Executive Assistant to assist with executing day-to-day operations for the ballet studio to ensure all customers have a great experience while supporting the teachers with their needs.

Requirements:
1. Must have at least 2 years of experience working with US-based businesses with similar responsibilities
2. Must have strong written and oral communication skills in English
3. Must be self-motivated to ensure all tasks are being completed
4. Must have strong, consistent internet with dependable laptop/computer

— Job Responsibilities

## 1. General
Ensure all lead & client inquiries across channels are addressed within 24 hours.
Maintain all communications in a friendly, engaging, professional and customer service oriented manner.
Liaise with front-desk staff as necessary to optimize client engagement and retention.
Keep records of common client inquiries and responses to create a FAQ for easier future reference.

##2. Lead Management : Enrollio (GoHighLevel) & Email

Respond to client lead inquiries via Enrollio, email and phone (if possible).
Provide accurate information on class schedules and prices.
Follow up on trial classes.
Track and report the conversion rates of leads to enrolled students.

##3. Existing Customer Service : Enrollio & Email

Respond to client inquiries via Enrollio, email and phone.
Provide accurate answers to inquiries based on studio policies and procedures.
Address client feedback and complaints, escalating to management if necessary.

##4. Data Management : JackRabbit

Maintain and update digital student records.
Track attendance and enrollment data.
Track tuition payments and follow up on overdue accounts.
Unenroll and report delinquent students.
Track instructor portal attendance and reminders.
Track instructor time sheet reports and reminders.
Assist with sales tax reporting on merchandise.
Assist with monthly inventory management.
Liaise with front-desk staff as necessary.
Generate periodic reports on enrollment, attendance, and financial data for management review.

##5. Event Coordination

Assist with processing recital registrations, costume orders, and billing.
Assist with coordinating logistics for studio events, such as recitals, workshops, and open houses.
Manage communication with parents and students regarding event details.

##6. Class and Schedule Management

Co-ordinate with instructors on class changes and substitutions.
Communicate schedule changes to students and parents as soon as possible via email and text.
Schedule make-up classes as necessary, in adherence with make-up class policies.
Monitor class capacity and manage waitlists.

##7. Support for Instructors

Handle digital communications and announcements for instructors.
Schedule private lessons in co-ordination with instructors.
Assist instructors with the setup and use of digital tools and platforms (Enrollio and JackRabbit).
Collect and report instructor feedback to management.
