Position Overview: We’re looking for an exceptional Executive Assistant with 1-3 years of experience to join our dedicated team. Your role will be pivotal in ensuring our clients receive the highest level of support as we navigate complex construction defect cases.
Key Responsibilities:
As our Executive Assistant, you will:
• Schedule & Coordinate: Organize crucial case events, including site visits with experts, depositions, and court reporter arrangements.
• Calendar Management: Expertly manage our executive’s calendar, prioritizing appointments and ensuring everything runs smoothly.
• Meeting Minutes: Create comprehensive minutes from meetings, clearly capturing action items and deadlines.
• Workflow Oversight: Keep our legal team on track by managing open tasks and projects, utilizing Asana to add action items.
• Document Management: File completed documents in LegalOne, meticulously meeting deadlines and ensuring all filings are on time.
• Financial Duties: Handle invoicing, generate accounting statements, manage credit cards, and process payroll.
• Client Communication: Represent the executive in client communications, including sending letters of acceptance and denial, fee agreements, and more.
• Expert Witness Coordination: Interact with expert witnesses to gather case-related information for our office files.
• Software Proficiency: Utilize Quickbooks, Google Suite, and quickly adapt to new software as needed.
• Accounts Payable: Process client-related accounts payable, ensuring invoices go out with all client costs.
• Financial Statements: Prepare financial statements by the 10th of each month, including a Custom statement of Cash Flow in Quickbooks.
Requirements: We’re looking for a candidate who possesses:
• 1-3 years of experience as an Executive or Administrative Assistant.
• Proficiency in Quickbooks, Google Suite, and an ability to adapt to new software.
• Exceptional organizational skills with strong attention to detail.
• The ability to multitask and thrive under pressure.
• Flexibility, adaptability, and the willingness to wear many hats.
• Resourcefulness and a talent for problem-solving.
Working Hours: This position requires you to work with the PST time zone, from 9 AM to 5 PM PST, for a total of 40 hours a week.
