I am hiring an executive assistant to help me build a sustainable virtual staffing agency. Unlike many job postings, this is not a hire for a client. You would be working with me to build The People Company, which helps small businesses in the United States get connected to extraordinary talent in the Philippines. I’m looking for someone who has a mix of both administrative/organizational experience at a high level, and experience with HR in some capacity. Experience managing people is a plus, as you will be expected to do so shortly.

The ideal candidate has between 6 and 8 years of experience in the administrative world, with closer to 10 years of experience in the BPO industry as a whole. Working with smaller companies is a plus. You will be one of our first internal hires. The expectation is for this hire to work in the EST timezone, though this requirement will be relaxed this summer as I live in Europe for the summer, visiting some family. The time zones will be closer together.

Organization:
– Assist me in managing day-to-day responsibilities efficiently.
– Enhance my productivity and capacity
– Maintain organization of calendar, meetings, and files.
– Promptly remind and challenge me to stay on schedule with meetings.
– Follow up with me to ensure the completion of tasks and projects as committed.

Project Management:
– Manage projects, delegate tasks to team members, and ensure accountability.
– Create separate projects for each investment opportunity.
– Anticipate and proactively address needs.

Calendar Management:
– Efficiently organize my calendar, team meetings, and meetings.
– Keep me punctual and prepared for all engagements.
– Record meeting minutes and maintain meeting agendas.
– Keep internal team members on track with their tasks to ensure project progress.
– Follow up internally and externally to drive project completion and maintain client relations.

Email Management:
– Efficiently organize and prioritize emails based on urgency and importance.
– Draft and respond to emails on behalf of myself as necessary.

File Organization:
– Reorganize folders across various ventures and rectify financial discrepancies.
– Clean up, consolidate, and organize files for easy access.
– Manage meeting recordings and file them systematically.

Administrative Tasks:
– Develop and maintain SOPs and follow-up protocols for streamlined operations.
