Job Description

We are a dynamic general contracting firm seeking a highly organized and skilled Virtual Assistant to join our team. This is a remote position offering a competitive hourly rate of $6-$8, based on experience and qualifications. The ideal candidate will have excellent English communication skills and a proven track record of managing administrative tasks efficiently.

Responsibilities:
– Handle incoming phone calls and manage correspondence with clients and suppliers.
– Schedule appointments and manage the calendar for project deadlines and meetings.
– Manage all administrative aspects related to workers’ compensation, general liability insurance, and license county renewals.
– Keep up-to-date records of licenses, continuing education requirements, permits, and county work documentation.
– Obtain quotes from suppliers, order materials, and oversee inventory management.
– Execute payroll functions and ensure accurate and timely processing.
– Respond promptly to client inquiries, manage invoicing, and perform follow-up calls to ensure client satisfaction.
– Organize files and maintain the CRM system to ensure all information is accessible and up-to-date.
– Handle email correspondence and follow up on pending matters with efficiency.
– Provide comprehensive support to the general contractor, assisting with a wide range of tasks to ensure smooth operation of projects.

Requirements:
– Exceptional command of the English language, both written and verbal.
– Strong organizational skills and the ability to multitask effectively.
– Experience in administrative support, preferably within a construction or contracting environment.
– Proficiency in Microsoft Office applications, CRM software, and other administrative tools.
– Ability to work independently with minimal supervision and maintain confidentiality.
– A proactive approach to problem-solving and strong attention to detail.
– Previous experience in handling payroll, scheduling, and permits is highly desirable.
