We are currently seeking a dedicated and highly organized Executive Assistant to support our executive team and contribute to our continued success.

Position Overview:

The Executive Assistant will play a crucial role in supporting our executive team by providing high-level administrative assistance. This role requires exceptional organizational skills, the ability to multitask, and a proactive approach to problem-solving. The ideal candidate will be fluent in English (A Bi-Lingual in Spanish is a Plus) with a strong understanding of the real estate industry.

Key Responsibilities:

• Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.

• Communication: Serve as a key point of contact, managing incoming and outgoing communications. Ensure timely responses and effective communication.

• Document Management: Research, prepare, review, and edit documents, reports, and presentations.

• Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

• Client Interaction: Liaise with clients, vendors, and stakeholders in a professional and courteous manner. Provide exceptional customer service and address inquiries promptly.

• Project Management: Assist in managing projects, ensuring deadlines are met and objectives are achieved. Track progress and provide regular updates to the executive team.

• Personal Assistance: Purchases personal stuff to executives and connections. Coordinate personal travel. Having experiences in booking flights, hotels, transportation is a must.

• Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.

Qualifications:

• Language Proficiency: Fluency in English (If Spanish – spoken and written)

• Experience: Minimum of 2 years of experience as an executive assistant or in a similar administrative role, preferably within the real estate industry.

• Education: Bachelor’s degree in Business Administration, Real Estate, or a related field is preferred.

• Technical Skills: Proficiency in Microsoft Office Suite (One Note, Word, Excel, PowerPoint, Outlook, Teams); At least familiarity on Zoho CRM, , Ring Central, Zoom.

• Organizational Skills: Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.

• Communication Skills: Strong written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.

• Problem-Solving: Proactive and resourceful, with a keen attention to detail and the ability to anticipate needs.

• Availability: Flexibility to work outside regular business hours and respond quickly to urgent requests.
